Who is responsible for your information
Woofolio is a trading name of Thomas Higgins, 9 Borrowdale Road, Moreton, CH46 0RE. For anything in this policy, write to thekennel@woofolio.co.uk.
We are the data controller for the information described here.
What we collect, and why
- Your email address — it is your account, and how we contact you about an order.
- Your password — for signing in. Stored only as a scrypt hash, so we cannot read it.
- The country you chose at sign-up — to know whether we can sell to you, and in which currency.
- The photograph of your pet — to make your portrait.
- The portraits made from it — for your library, and to print what you order.
- Your delivery name and address — to get a print to you.
- What you ordered and paid — to fulfil it, and for our tax records.
- Why you rejected a portrait, if you tell us — to answer you, and to find out which templates fail.
All of it except the last is because we need it to do what you asked — to give you an account, make your portrait, and send you a print. The last is our own legitimate interest in fixing our product. Your order records are also kept because the law requires it.
We do not ask for anything we do not need. There is no phone number, no date of birth, no marketing profile, and no record of what you look at.
If your sign-up is refused because we do not sell to your country, we keep only the country and the date — not your email, not your password. No account is created. We keep that to know where people are asking for us.
Photographs of people
Woofolio is for photographs of pets. Please do not upload photographs of people. If a person is incidentally in a photo you upload, tell us and we will delete it.
Who else sees it
- OpenAI — your pet photograph is sent to OpenAI's image models to make the portrait. It leaves our servers, and they process it in the United States. They act as our processor and do not use it to train their models.
- Gelato — when you order a print, your delivery name and address go to Gelato, who print and post it. They receive the finished artwork, never your photograph of your pet.
- A payment provider and an email provider — neither is switched on yet. When they are, card details will be entered with the payment provider and will never reach us, and the email provider will see your address in order to send you order emails.
Nobody else. We do not sell your information, and we do not share it for advertising.
How long we keep it
- Attempts you did not keep: 30 days — then the portrait and the pet photograph behind it are deleted. A photo of your dog is yours, kept only because a regeneration might need it, and there is no reason to hold one for a picture you walked away from.
- Portraits you kept — for as long as your account exists. Deleting them sooner would quietly withdraw your ability to order a print.
- Your account — until you ask us to close it.
- Orders — six years after the tax year they fall in, because HMRC require it. This is the one thing we cannot delete on request.
Cookies
One cookie, called session, which keeps you signed in for 30 days. It is strictly necessary — without it the site cannot tell it is you — so there is no cookie banner, because there is nothing to consent to.
No analytics, no advertising pixels, and no third-party trackers of any kind. If that ever changes, this section changes with it and a banner appears.
Your rights
You can ask us to:
- show you what we hold about you;
- correct it;
- delete it, subject to the six-year order records above;
- hand it over in a portable form;
- stop a use of it that relies on our legitimate interest.

If you are not happy with how we have handled it you can complain to the Information Commissioner's Office at ico.org.uk, though we would rather you told us first.
Automated decisions
Your portrait is generated by an AI model, but no decision about you is made automatically. Nothing here profiles you or decides anything on your behalf.
Children
Woofolio is not aimed at children and we do not knowingly hold information about anyone under 13. If you think we have, tell us and we will delete it.
Changes
If this policy changes we will update it here and, where the change matters, tell account holders by email.
